Configuring Time Tracking Settings
Control rounding rules, required fields, and other behaviors for all time entries
These settings shape how everyone on your team enters time — whether minutes get rounded, which fields are required, how overtime is calculated, and more. Getting these right upfront means fewer corrections and cleaner data down the line.
Getting There
Go to Admin > Settings > Time Tracking.
Key Settings
- Time Entry Format — Choose between decimal hours (e.g., 1.5) or hours and minutes (e.g., 1:30). This affects how time is displayed and entered everywhere in the platform. Most accounting firms prefer decimal; most service businesses prefer hours and minutes.
- Week Start Day — Set which day begins a new work week (Sunday or Monday). This affects weekly timesheets, reports, and overtime calculations.
- Default Billable Status — Choose whether new time entries default to billable or non-billable. If most of your work is billable, set the default to billable so employees don't have to check the box on every entry.
- Rounding — Configure automatic rounding rules. Options include rounding to the nearest 6, 10, or 15 minutes. Rounding is applied to all entries and is visible on timesheets and invoices.
- Overtime Rules — Define overtime thresholds:
- Weekly overtime — Hours over 40/week (or your custom threshold)
- Daily overtime — Hours over 8/day
- Double-time — Hours over 12/day (where applicable)
Additional Settings
- Required fields — Force employees to fill in specific fields (Description, Activity) before saving a time entry.
- Timer settings — Control whether timers auto-pause at midnight, whether multiple simultaneous timers are allowed, and timer minimum durations.
- Timesheet reminders — Set automated email reminders for employees who haven't submitted their timesheets by a specific day.
Important: Changes to time tracking settings apply to all users immediately. Test rounding and overtime rules carefully — they affect payroll calculations and invoice amounts.
