Connecting QuickBooks Desktop to TimeTracker
Set up the desktop connector to sync data between TimeTracker and QuickBooks Desktop
For firms still using QuickBooks Desktop, TimeTracker supports a connector application that syncs data between the two systems. Unlike the QuickBooks Online integration (which uses a cloud API), QuickBooks Desktop requires a small application installed on the same computer where QuickBooks Desktop runs.
What You'll Need
- QuickBooks Desktop installed on a Windows computer.
- The TimeTracker Desktop Connector application (downloaded during setup).
- Admin access to both TimeTracker and QuickBooks Desktop.
Setting Up
- Go to More > Integrations > QuickBooks Desktop.
- Download the Desktop Connector application and install it on the computer that runs QuickBooks Desktop.
- Open the connector and enter your TimeTracker credentials.
- Open QuickBooks Desktop — when prompted, authorize the connector to access your company file.
- In the connector, configure field mapping — match TimeTracker clients to QuickBooks customers, activities to service items, etc.
- Set your sync preferences (what to sync and how often).
How It Works
The connector must be running on the computer for syncs to occur. If the computer is shut down or the connector is closed, syncs pause and resume when it's reopened. QuickBooks Desktop also needs to be open (or at least accessible) for the connector to read and write data.
Tips
- If you're on a network with QuickBooks in multi-user mode, the connector needs access to the company file — check with your IT team about permissions.
- Schedule a regular time to confirm the connector is running (e.g., Monday mornings), especially if the computer restarts for updates.
- If syncs stop working, check that the connector application is still running in the system tray and that QuickBooks Desktop is accessible.
