Enabling or Disabling the Approval Workflow

Turn approvals on or off and choose who needs to approve before invoicing

The approval workflow adds a review step between time entry and invoicing. Whether you need it depends on your organization — some teams require manager sign-off for compliance or billing accuracy, others trust employees to self-manage. Here's how to turn it on or off, and what to expect when you do.

Turning Approvals On

  1. Go to Admin > Settings > Time Tracking.
  2. Find the Time Entry Approval setting and toggle it to Enabled.
  3. Click Save.

You can also enable this during initial setup through the Setup Wizard on the Dashboard.

What Changes When Approvals Are Enabled

Once enabled, the workflow affects how time entries move through the system:

  • Employees enter time as usual, then submit their entries for review. Unsubmitted entries stay in a "Pending" state.
  • Managers and Admins see submitted entries on the Approvals page, where they can approve or reject each entry with optional comments.
  • Approved entries become available for invoicing. Rejected entries go back to the employee for correction.
  • Existing entries are not retroactively affected — only new entries created after enabling the workflow require approval.

Turning Approvals Off

Follow the same path: Admin > Settings > Time Tracking, toggle Time Entry Approval to Disabled, and save.

When you disable approvals, the review step is removed entirely. All entries — past and future — are treated as accepted. Any entries that were pending approval at the time you disable the workflow will no longer require sign-off.

When Should You Use Approvals?

  • Large teams — When you have 10+ people logging time, a review step catches errors before they hit invoices.
  • Client-facing billing — If clients scrutinize invoices closely, having a manager review entries first reduces billing disputes.
  • Compliance requirements — Some industries require manager sign-off on time records.

For small teams where everyone manages their own time, approvals may add unnecessary friction. You can always enable them later if your needs change.
