Expense Reports

Break down spending by client, project, user, or category for reimbursement or billing

Tracking expenses is one thing; understanding where the money is going is another. Expense reports let you break down spending by client, project, employee, or category so you can identify trends, manage reimbursements, and ensure expenses are being billed correctly.

Available Reports

  • Expense Summary by Client — Total expenses per client for a given period. Useful for checking whether expense totals are reasonable before invoicing.
  • Expense Detail — Individual expense entries with full details: date, employee, client, project, category, amount, and whether it's reimbursable or billable. This is your audit-level report.
  • Reimbursable Expense Report — Filters to show only expenses marked as reimbursable. Use this at the end of each pay period to process employee reimbursements.

Running an Expense Report

  1. Go to Reports from the left sidebar.
  2. Select the expense report you want to run.
  3. Set your filters — date range, client, project, employee, or expense category.
  4. Click Run Report.
  5. From the results, you can print, export to CSV/Excel, or email the report.

Common Uses

  • Monthly billing review — Run the Expense Summary by Client before creating invoices to make sure all billable expenses are captured.
  • Reimbursement processing — Run the Reimbursable Expense Report at the end of each pay period and share it with your payroll team.
  • Budget tracking — Run the Expense Detail report filtered by project to compare actual spending against project budgets.
