First-Time Setup Wizard (Admin Guide)

Walk through each setup step so your team can start tracking time right away

When you first log in to a new TimeTracker account, a Setup Wizard appears on the Dashboard. It walks you through the most important configuration steps so your team can start tracking time right away.

Note: Who sees this: Only Admins and Super Admins see the Setup Wizard. Employees and Managers will not see it.

The wizard has three sections with quick-action cards. Complete them in any order, and dismiss the wizard at any time by clicking the X. It reappears on the dashboard until fully dismissed.

Section 1: Time Tracking

Invite Your Users — Click OPEN to go to user management. Add team members by entering their name, email, and role (Super Admin, Admin, Manager, or Employee). Each person receives an invitation email to set up their password.

Billable Status Default — Set the firm-wide default for new time entries. Choose Billable (best when most work is client-facing) or Non-Billable (best for internal/salaried work). Users can override this on individual entries, and you can override at the client or project level later.

Time Entry Approvals — Enable to require manager/admin approval before entries can be invoiced. Disable for smaller teams or when review isn’t needed. You can change this later without affecting existing entries.

Time Rounding — Configure whether entries round to specific increments: 6-minute (1/10th hour, standard in legal billing), 15-minute, or 30-minute. Leave disabled for exact-time tracking.

Note: Rounding applies at the point of entry. Changing rounding settings later does not retroactively adjust previously entered time.

Section 2: Customize Account

Opens your firm’s account settings where you configure company name and address (appears on invoices and reports), company logo, time zone and date format, and currency. These settings are accessible anytime from Admin Settings.

Section 3: Apps & Downloads

Provides download links for all TimeTracker apps: iOS, Android, Amazon (Fire tablets), Windows 10, Chrome Extension, and Outlook Add-ins (365 and Desktop). All apps are optional — the web version has full functionality.

  • Create your clients — every time entry and invoice is tied to a client.
  • Create your projects — specific bodies of work within a client.
  • Set up billing rates — configure hourly rates on user profiles, then override at client or project level where needed.
  • Invite your team — once the above is in place, users can start entering time immediately.
