I Can't Edit a Time Entry — It's Locked
Understand why an entry is locked and what to do about it
If you see a lock icon next to a time entry and cannot edit it, an admin at your firm has locked the time period that entry falls within, or the entry has been approved through the approval workflow.
Why Entries Get Locked
There are two reasons an entry gets locked:
- An admin locked the time period — After payroll has been processed or invoices have been sent, admins lock past periods to prevent changes that would cause discrepancies. Go to Admin > Lock Time Periods to see which date ranges are currently locked.
- The entry was approved — If your firm uses the approval workflow, approved entries are locked to prevent post-approval edits. The entry must be unapproved before it can be changed.
What to Do
Your path depends on why the entry is locked:
- Locked period: Ask your admin to temporarily unlock the period at Admin > Lock Time Periods. They can unlock it, let you make the correction, then re-lock it. Alternatively, the admin can make the edit on your behalf.
- Approved entry: Ask the approving manager to unapprove the entry from the Approvals page. Once unapproved, you can edit and resubmit it.
For Admins
If employees frequently need edits to locked periods, consider adjusting your lock schedule. Some teams lock periods weekly after payroll; others lock monthly. Find the cadence that balances data integrity with practical flexibility. You can manage locked periods at Admin > Lock Time Periods.
