Setting Up Activity Groups

Organize activities into groups and control which ones show up for each client

As your activity list grows, not every activity is relevant to every client. Activity Groups let you bundle related activities together and assign them to specific clients or projects, keeping dropdown menus focused and reducing entry errors.

Creating an Activity Group

  1. Go to Admin > Settings > Activity Groups.
  2. Click Add Activity Group.
  3. Name the group descriptively (e.g., "Software Development", "Consulting", "Litigation").
  4. Select the activities that belong to this group from the available list.
  5. Click Save.

Assigning Groups to Clients or Projects

Once created, assign Activity Groups to specific clients or projects:

  • Client level — Open the client record and go to the Activity Group tab. Select a group. All projects under that client will use this group by default.
  • Project level — Open the project and set an Activity Group. A project-level group overrides the client-level group.

When an employee enters time against a client or project with an assigned group, they only see the activities in that group — not the full list.

Example Setup

A consulting firm with diverse clients might create:

  • "Consulting" group — Discovery, Analysis, Strategy, Presentation, Travel
  • "Development" group — Coding, Testing, Code Review, Deployment, Documentation
  • "Legal" group — Research, Drafting, Filing, Court Appearance, Client Meeting

Assign the Consulting group to consulting clients, the Development group to software clients, and so on. Each client's employees see only the relevant activities.

Tip: Don't create too many groups. If you have 3-4 distinct service lines, that's 3-4 groups. If every client has unique activities, consider using Custom Lists instead of groups.
