Syncing with Google Calendar or Outlook

Pull in your external calendar events so you can see everything in one place

If your day is already planned in Google Calendar or Outlook, syncing it with TimeTracker means you can see external meetings alongside your tracked time. This makes it easier to account for your full day and notice time that hasn't been logged.

Setting Up Calendar Sync

  1. Open the Calendar in TimeTracker from the left sidebar or top navigation.
  2. Click the sync or connect option.
  3. Choose Google Calendar or Outlook Calendar.
  4. Sign in and authorize TimeTracker to access your calendar.
  5. Select which calendars to display (you may have multiple — work, personal, shared team calendars).

What Synced Events Look Like

External calendar events appear as read-only items on your TimeTracker calendar, visually distinct from your time entries. You can see the event title, time, and duration, but you can't edit them from TimeTracker — they're pulled from your external calendar.

Using Synced Events for Time Entry

The real value of calendar sync is as a reference when filling out your timesheet. See a 2-hour client meeting on your Google Calendar? Click that time slot to create a time entry for those hours. The calendar doesn't auto-create entries — you're still in control of what gets logged.

Note: Calendar sync displays events from your external calendar in TimeTracker. It does not automatically create time entries from calendar events — you decide what to log.

Tips

  • If events aren't showing up, check that the correct calendar is selected in the sync settings — many people have multiple calendars and only sync their work calendar.
  • Sync is one-directional: external events appear in TimeTracker, but TimeTracker entries don't appear in your Google or Outlook calendar.
