Using Activity Groups with Clients
Control which activities are available when logging time to specific clients
Not every type of work applies to every client. A consulting client might only need Strategy and Research activities, while an implementation client needs Development and Testing. Activity Groups let you curate exactly which activities appear for each client, so your team isn't scrolling through irrelevant options when they log time.
How Activity Groups Work
An Activity Group is a named collection of activities (work types). When you assign a group to a client or project, only the activities in that group appear in the Activity dropdown during time entry. This prevents employees from selecting irrelevant work types and keeps your time data clean.
Assigning an Activity Group to a Client
- Go to Clients and click the client's name.
- Open the Activity Group tab.
- Select a group from the dropdown.
- Click Save.
Now when anyone enters time for that client, they'll only see the activities in the assigned group.
Assigning to a Project
You can also assign Activity Groups at the project level. A project-level group overrides the client-level group, giving you finer control. For example, a client might have a "Consulting" group by default, but a specific development project under that client could use a "Software Development" group.
When to Use Activity Groups
- Multiple service lines — If your firm offers consulting, development, and support, create a group for each and assign the right one to each client.
- Legal work — Law firms using UTBMS codes can create groups for different practice areas (litigation, transactional, bankruptcy) so attorneys only see relevant task codes.
- Large activity lists — If you have 50+ activities, groups keep the dropdown manageable.
Activity Groups are created by admins under Admin > Settings > Activity Groups.
