Using the Invoice Tracker
See all outstanding invoices across clients and spot overdue payments at a glance
When you have dozens of invoices across multiple clients, you need a single place to see what's outstanding, what's overdue, and what's been paid. The Invoice Tracker is that dashboard — a quick overview of your billing health across the entire business.
Getting There
Go to Billing > Invoice Tracker. The page loads a list of all invoices across all clients, with the most recent at the top.
What You'll See
Each row in the tracker shows:
- Invoice Number & Date — When the invoice was created.
- Client — Who it was billed to.
- Total Amount — The original invoice amount.
- Balance Due — What's still unpaid. If a client made a partial payment, this reflects the remaining amount.
- Status — Draft, Sent, Viewed, Partially Paid, Paid, or Overdue.
- Aging — How many days since the invoice was sent. This helps you spot invoices that are 30, 60, or 90+ days past due.
Filtering and Sorting
Use the filters at the top to narrow the list:
- Date range — Focus on a specific billing period (this month, last quarter, custom range).
- Client — See all invoices for a single client.
- Status — Filter to just unpaid or overdue invoices for your collections review.
Click any column header to sort — sorting by Balance Due descending puts your largest outstanding amounts at the top, which is useful for prioritizing follow-ups.
Using It for Collections
The Invoice Tracker works best as a weekly or monthly collections tool:
- Filter to Overdue or Sent status.
- Sort by aging to see your oldest unpaid invoices first.
- Click into any invoice to view the detail, resend it, or record a payment.
If a client has multiple unpaid invoices, consider sending them a Client Statement instead of individual reminders — it gives them a single view of everything they owe.
Tips
- The tracker only shows finalized invoices. Draft invoices appear under Billing > Invoices.
- If you use online payments (Stripe, LawPay, or CPACharge), paid invoices update their status automatically when the client pays through the payment link.
