Why Can't I See Certain Clients, Projects, or Activities?
Figure out why something is missing from a dropdown and how to bring it back
If a client, project, or activity is missing from a dropdown menu, it's usually one of four things. Here's how to diagnose and fix each one.
1. The Item Is Inactive
Clients, projects, and activities can be marked as Inactive, which removes them from dropdown menus while preserving their historical data. Go to the relevant management page (Clients, Projects, or Admin > Custom Lists) and check the item's status. Toggle it back to Active to make it reappear.
2. Permission Restrictions
Your user role may not have access to that client or project. Projects can be restricted to specific users (set on the project's Users tab), and some data is limited by role. Ask your admin to check your access permissions.
3. Activity Groups Are Filtering the List
If Activity Groups are in use, only activities in the group assigned to a client or project will appear in the Activity dropdown during time entry. If you need an activity that isn't showing, ask your admin which Activity Group is assigned and whether the missing activity should be added to it.
4. The Item Hasn't Been Created Yet
It may simply not exist in the system yet. Ask your admin to create the client, project, or activity.
Quick Fix for Admins
If an employee reports a missing item, check these locations:
- Clients — Clients page, check Active/Inactive filter.
- Projects — Project List, check status and user access settings.
- Activities — Admin > Custom Lists > Activities, check status. Also check Activity Group assignments if groups are in use.
