Why Does My Invoice Show $0.00?
Find and fix the most common reasons your invoice comes out blank
This is the most common billing question. If time entries appear on your invoice with $0.00 amounts, it means no hourly rate has been configured for the user, client, or project — so the system multiplied hours by $0.00.
Where Rates Come From
TimeTracker looks for a billing rate in a specific order, using the most specific rate available:
- Project rate (most specific) — A rate set on the project itself, under the project's Billing tab. If this exists, it overrides everything else.
- Client rate — A rate set on the client record, under Other Details > Billing Rates. Used when no project-level rate is set.
- User default rate (least specific) — The rate on the user's profile. Used as the fallback when neither a project nor client rate exists.
If none of these have a rate configured, the system defaults to $0.00.
How to Fix It
- Set a rate at any of the three levels above. The easiest starting point is to set a default hourly rate on each user's profile (Admin > Manage Users > click the user).
- Then override at the client or project level only where needed (e.g., a client with a negotiated discount, or a flat-fee project).
- Once rates are set, delete the $0 invoice and recreate it — the system will recalculate using the new rates.
Tip: Before creating invoices, run a quick check: go to a few time entries and verify they show a rate. If any show $0.00, fix the rate configuration before invoicing.
